For Alexandria Users:

1) IMPORTANT: Check out ALL of your non-circulating reference items to Library Use. This way, they will not be counted in your average copyright date.

2) Go to the Reports tab.

3) Go to Item Reports.

4) Under Report Name, select "Publication Date Summary."

5) Under Select By, choose "Copy Call Number" and set the range for 973 - 973.99999 AND select "Copy Status - Available." This way, all of the reference books you've checked out to Library Use will NOT be counted.

Please note that running this report also means any books checked out from that section will not be counted either. I would recommend running this report when you have a hard due date, like before the December holidays.

For those unable to run a publication report:

I would recommend you export your Item information (if you don't know how to do this, contact a techie) and upload it to Follett's Titlewave at http://www.flr.follett.com. *Please note - you will have to register for an account.

Follett will run a pretty comprehensive analysis of your collection, which includes an average copyright date summary by Dewey Decimal hundreds and tens. I especially love the Aged Titles and Age Sensitive section reports. They really help when it comes to weeding.

By now, many of you have discovered the survey shift to the 973s as the check point for an average copyright date. The reason for the shift was to use a section that has a strong relationship with California content standards. The 973s do that at all grade levels. Unfortunately, 973 is often a large section, particularly in high schools. In the spirit of collaboration, I'd like to start a listserv discussion about techniques and strategies to get to the average copyright date as easily as possible. For example, how do you use the various automation systems to get to it? (Don't assume that others using your system know this.) How do you use students on this project? Has anyone tried a collaboration with a mathematics teacher for this to be an extra credit assignment? All ideas welcome. It's a group think! Thanks in advance, Barbara
